Membership Guidelines
Respectful behavior: Members are expected to be respectful towards each other, regardless of any differences in opinions or beliefs. Personal attacks or disrespectful behavior towards other members will not be tolerated.
Non-discrimination: Members are expected to be inclusive and welcoming towards all members, regardless of race, ethnicity, religion, gender, sexual orientation, or any other personal characteristic.
No political endorsements: The club is a non-partisan organization, and as such, members are not allowed to endorse or support any political candidate or party. However, personally a member can support candidates of their choosing.
Confidentiality: Discussions and information shared during organizational meetings or events are to remain confidential and not shared outside of the organization without permission.
Positive communication: Members are encouraged to communicate in a positive and constructive manner, avoiding negative or hostile language or behavior.
Attendance: Members are encouraged to attend organization meetings and events, and to RSVP when necessary to ensure accurate headcounts for events. Please seen complete bylaws for more information.
No fundraising without permission: Members are not allowed to fundraise for personal causes or projects without permission from the organizations leadership.
No solicitation: Members are not allowed to solicit other members for business or personal gain.
Compliance with local laws: Members are expected to comply with all local, state, and federal laws and regulations.
Adherence to organizations bylaws: Members are expected to adhere to the club’s bylaws, as outlined.
Member By-Laws
ARTICLE I: NAME AND PURPOSE
Section 1: Name
The name of this organization shall be Sarasota County Moms For America (hereafter referred to as “the organization”).
Section 2: Purpose
The purpose of the organization is to promote the principles of freedom, patriotism, and family values through education, activism, and community involvement.
ARTICLE II: MEMBERSHIP
Section 1: Eligibility
Membership in the organization shall be open to all mothers and parents who share the organization’s purpose and values.
Section 2: Membership Dues
Membership dues shall be determined by the club’s leadership and approved by a majority vote of the membership.
Section 3: Membership Meetings
The club shall hold monthly meetings, to which all members are encouraged to attend.
Section 4: Attendance Policy
Members are encouraged to attend monthly meetings. If a member is unable to attend a meeting, they should notify the club’s leadership in advance.
If a member fails to attend three consecutive monthly meetings without prior notice, they will be considered inactive and their membership status will be reviewed by the club’s leadership. The inactive member can be removed and placed in an inactive status by the club’s president. If the inactive member would like to discuss their level of involvement and any potential reasons for their absence, they should do so before inactive status is incurred.
ARTICLE III: LEADERSHIP
Section 1: Officers
The officers of the club shall consist of a president. Additional members can be acting as chair and committee leaders, whereby a vote is to be taken to secure the leadership roles.
Section 2: Duties of Officers
The president shall preside over all meetings of the The committee leaders shall assist the president within their respective commitee’s. The president shall determine who presides over meetings in the event that the president is unable to attend.
Section 3: Term of Office
The term of leadership roles shall be one year, beginning on January 1st and ending on December 31st.
Section 4: Nominations and Elections
Nominations for leadership roles shall be made at the November meeting, and elections shall be held at the December meeting. Leaders shall be elected by a majority vote of the membership present.
ARTICLE IV: MEETINGS
Section 1: Regular Meetings
The club shall hold regular meetings once a month, on a date and time determined by the organization’s leadership.
Section 2: Special Meetings
Special meetings may be called by the organization’s leadership or by a majority vote of the membership.
ARTICLE V: COMMUNICATION
Section 1: Chat Communication
The organization will use a chat tool for communication among members. The current chat tool being used is Signal, but the president may change the communication tool at any time.
Section 2: Membership in Chat Communication
All members of the organization are eligible to join the chat communication tool. However, inactive members, as defined in Article II, Section 4, will be removed from the chat communication tool until they become active again.
Section 3: Code of Conduct
All members participating in the chat communication tool are expected to conduct themselves in a respectful and professional manner. Members who violate this code of conduct may be removed from the chat communication tool by the president or an admin with presidents approval.
Section 4: Confidentiality
Members are expected to maintain the confidentiality of any sensitive or personal information shared on the chat communication tool. Any breaches of confidentiality may result in disciplinary action by the organization’s leadership, including removal from the organization and the chat communication tool.
Section 5: Prohibition on Screenshots
Members are strictly prohibited from taking screenshots of the chat communication tool. Any member found to have violated this provision may be subject to disciplinary action by the organization’s leadership, including removal from the chat communication tool and the organization as a member.
Section 6: Record Keeping
The organization’s leadership will keep a record of all chat communication in accordance with the organization’s document retention policy.
Section 7: Acknowledgment
All members participating in the chat communication tool are required to acknowledge their understanding and agreement to this by-law, including the prohibition on screenshots, prior to being added to the chat communication tool.
ARTICLE VI: BRANDED ATTIRE
Section 1: Purpose
The organization may choose to create branded attire to be worn by its members during events or other activities. The purpose of this branded attire is to promote the organization and its mission.
Section 2: Design
The design of the branded attire will be determined by the organization’s leadership with input from the members. The final design will be approved by a majority vote of the members.
Section 3: Purchase and Distribution
The branded attire will be made available for purchase by the members at cost. The organization’s leadership will oversee the purchase and distribution of the branded attire.
Section 4: Optional Nature
Wearing the branded attire is optional for members. However, members who choose to wear the branded attire are expected to represent the organization in a respectful and professional manner while doing so.
Section 5: Acknowledgment
All members purchasing and/or wearing the branded attire are required to acknowledge their understanding and agreement to this by-law prior to doing so.
ARTICLE VII: ACTIVE MEMBERSHIP
Section 1: Definition
An active member of the organization is defined as a member who attends at least two-thirds (2/3) of the monthly meetings in a calendar year, (also see section 2 below), actively participates in the organization’s activities, and pays any required membership dues in a timely manner.
Section 2: Attendance
To maintain active membership status, a member must not miss more than three (3) consecutive monthly meetings. If a member misses more than three (3) consecutive meetings, they will be designated as inactive.
Section 3: Evaluation
The organization’s leadership will evaluate each member’s status as an active member on a monthly basis. Members who do not meet the criteria for active membership may be designated as inactive and will lose certain membership privileges, such as chat communication, voting rights and eligibility for leadership positions.
Section 4: Notification
Any member who is deemed inactive due to failure to attend monthly meetings will be removed from communication tool and not presented with the future meeting schedules. The inactive member can be given the opportunity to become active again by reaching out to the president and the Membership Committee Leader.
